Job Summary:
Drake Law School is seeking a detail-oriented and highly organized Administrative Assistant to provide comprehensive support across multiple law school centers and offices. Reporting to the Directors and Associate Dean, this role involves a wide range of administrative tasks, including managing communications, coordinating events, assisting with classroom needs, and supporting faculty projects. Key responsibilities include scheduling, document preparation, maintaining records, and handling logistics for major programs and events. The ideal candidate will have strong time management skills, proficiency in Microsoft Word and Excel, and the ability to work collaboratively in a dynamic environment. Experience with relationship management or communications systems is a plus. The anticipated start date for this position is late January.

Preferred Qualifications:
• Bachelor’s Degree
• Strong proficiency with Microsoft Office Suite, Blackboard
• Experience working with Adobe and relationship management/communications systems
Job Duties:
- 5% - Reporting to the directors of each of the Centers and Associate Dean, the Administrative Assistant performs a variety of administrative and office support tasks. Responsibilities include answering phones, greeting visitors, and providing general assistance as needed. Less frequent duties include preparing expense reports, submitting invoices, and assisting with exams and the graduation ceremony. Other duties as assigned. Strong time management and attention to detail are required. Proficiency in Microsoft Word, Excel is required; experience working with relationship management/communications systems is a plus.
- 10% - Agricultural Law Center: Provide administrative support for the Agricultural Law Center director and staff, including class-related tasks, editing publications, and general administrative duties. Assist with planning Center events, both online and in person, including coordinating with speakers, catering, and registration. Maintain and update website content for both the drake.edu page and WordPress sites, ensuring articles and materials are posted and current.
- 10% - Deans Suite: Assist Associate Dean with classroom and administrative tasks, including preparing attendance sheets, seating charts, and index cards with student photos. Prepare letters of recommendation and other correspondence, and provide general administrative support as needed.
- 20% - Constitutional Law Center: Provide administrative support for the Constitutional Law Center Director. Duties include maintaining attendance records, recording grades, scheduling student appointments, creating seating charts, scanning or copying class materials, sending class communications, and typing and proofreading scholarly articles and book chapters.
- 25% - Administrative support for Law Library. Coordinate work of the Law Library Administrative Office, including administrative and secretarial support for the Director and staff. Supervise student employees and coordinate student payroll, serve as liaison with Human Resources, and manage office and facilities needs, including supply orders. Provide administrative support for the Legal Research program, including updating score sheets, proofreading handouts, collecting assignments, verifying answer keys, and other support.
- 30% - Administrative Support for Office of External Relations: Provide administrative support for activities coordinated by the Office of External Relations, including communications, alumni relations, and events. Responsibilities include assisting with events such as reunions, continuing legal education programs, Supreme Court Celebration Week, Cady Day of Service, and the Constitutional Law Center Distinguished Lecture Series and annual symposium. Coordinate event logistics including speaker travel, catering, and hospitality; assist with publicity and marketing materials; manage facility use requests; update alumni records; and help maintain Law School website.
