Department Summary:

The Zimpleman College of Business is looking for a detail-oriented administrative assistant to work with our team and the students we serve. This is a full-time, 12-month staff position. A core function of this role is to support the three centers in Zimpleman including 1) Buchanan Center for Entrepreneurial Leadership, 2) Pappajohn Center for Entrepreneurship Outreach, 3) Kelley Center for Insurance Innovation as well as the School of Actuarial Science and Risk Management and to make sure each area has the needed administrative support to realize their leadership functions.

Job Summary:

We are looking for someone who has an agile mindset and is highly organized to address a variety of important tasks in collaboration with leaders, staff, faculty and the community. Given this role interacts with a range of people the person needs to possess strong communication skills and a customer service orientation. This person also needs to be technically proficient so they can manage a range of digital platforms that support key digital assets of the college.

Minimum Qualifications:

• High school degree or equivalent
• Demonstrated history of strong interpersonal communication skills, organizational skills, customer service mindset
• Desire and ability to successfully work as part of a team
• A working knowledge of desktop hardware and software, including MS Word, and Excel

Preferred Qualifications:

• Associate degree or higher and 3–7 years experience preferred
• Previous work experience in higher education

Job Duties:

  • 50% - Administrative Support: A core function of this role is to support the three centers in the Zimpleman College of Business including 1) Buchanan Center for Entrepreneurial Leadership, 2)Pappajohn Center for Entrepreneurship Outreach, 3) Kelley Center for Insurance Innovation as well as the School of Actuarial Science and Risk Management and to make sure each area has the needed administrative support to realize their leadership functions, including the ability to:
    • Manage incoming telephone calls, visitor reception, meeting requests, and correspondence for the Centers and School with professionalism and discretion
    • Maintain and monitor office supply inventory, anticipating needs and coordinating procurement in a timely manner
    • Supervise, direct, and mentor student assistants to ensure high-quality support for daily operations
    • Coordinate and schedule meetings for leadership and staff, including preparation of agendas, facilitation support, and timely distribution of minutes to all participants
    • Manage external communications including social media platforms and marketing initiatives to promote the Centers and School to key audiences
    • Draft, edit, and produce professional documents including reports, brochures, presentations, and other print and digital materials
    • Lead the production of annual reports by gathering data, developing narrative content, and publishing final products in both print and electronic formats
    • Build and sustain effective working relationships across the College while maintaining thorough knowledge of relevant College and University policies, procedures, and protocols
  • 40% - Event Management:
    • Provide support for key Center and School events, including Lorentzen program, Drake’s Business Clinic, Pappajohn student competition, Insurance Risk and Opportunity forum, Stuart Klugman Event, Insurance Innovation Lab, Disruption Days, and others
    • Work with Sodexo, Eventbrite, the Event Management System (EMS), University departments and outside vendors for event support
    • Coordinate and control guest parking permits for visitor parking; mail or email parking permits and directions to campus as appropriate; offer alternative parking suggestions when guest parking is not available 
  • 10% - Budget Support:
    • Provide support relating to operational finance; processing forms aligning with the university central accounting policies and procedures for the Centers and School
    • Manage actuarial exam fee reimbursements for students
    • Perform other duties, as assigned
