Job Summary:

Drake's Zimpleman College of Business seeks a highly organized and detail oriented administrative assistant to work in a multi-faceted position interacting with college administrators, faculty, staff and students. This is a fulltime, 12-month position. Position responsibilities include budget support relating to operational finance, administrative and faculty support including the support for our professional education programs, and office support including events, building, and systems operations. A broad understanding of Drake University and the Zimpleman College of Business is preferred to perform the duties effectively. Excellent problem-solving skills, oral and written communication skills as well as the ability to demonstrate initiative and independent decision-making to allow meeting multiple deadlines.

Minimum Qualifications:

• High school degree or equivalent.

• Demonstrated history of strong interpersonal communication skills, organizational skills, customer service mindset.

• Desire and ability to successfully work as part of a team.

• A working knowledge of desktop hardware and software, including Microsoft Outlook, Word, Excel, Teams, and Adobe Acrobat.

Preferred Qualifications:

• Associate degree or higher and/or 3–7 years of relevant experience.

• Experience working in higher education.

• Experience working with financial systems, such as Banner or Workday.

• Experience in administrative support role.

Job Duties:

  • 40% - Budget support • Provide budget support relating to operational finance; processing forms aligning with the university central accounting policies and procedures, assist with invoice processing, financial reimbursements, and other related operational tasks. • Responsible for budget support for department, unit, and center operations. • Assist with annual scholarship distribution for Zimpleman College of Business students. - (Essential)
  • 40% - Administrative and faculty support • Provide budget and administrative support for professional education programs including center for professional studies and executive education. • Responsible for the Zimpleman College of Business faculty course evaluation process including assembling data for accreditation reporting. • Responsible for gathering and organizing course syllabi from faculty. • Provide support for the Dean’s Office and serve as back-up for the Dean’s Assistant. Establish and maintain effective work relationships within the college including thorough knowledge of the departmental and company policies and procedures. • Provide procedural support for college award processes. • Provide onboarding and offboarding support for faculty and staff. - (Essential)
  • 15% - Office support • Event support for the Zimpleman faculty, staff, students and career services working with Sodexo, mydrake, the EMS and outside vendors. • Assume responsibility as assistant building manager for Aliber Hall coordinating room scheduling in the university EMS and processing facilities and technology work orders within the university portal working with facility services and other university departments. • Responsible for supply inventory and support for the Aliber Hall Multi-Functional Device (MFD) systems. • Responsible for processing student employee forms and tracking student employees in Zimpleman. • Support meeting room technology in Aliber Hall. - (Essential)
