The vision of Head Start and Early Head Start is a noble one: “changing lives to change tomorrow.” Drake University Head Start and Early Head Start programs support the comprehensive development of children from birth to age 5, in classroom settings, home-based programming, and childcare partnership locations.
Job Summary:
This position, under the supervision of the Program Director, will provide detail-oriented and timely administrative support to central office staff and other agency professionals. The Administrative Assistant will also facilitate requests and projects from leadership. This position will assist with regular, timely, appropriate social media content across various platforms. The successful candidate will promote high quality customer service skills and a broad understanding of Drake University Head Start's philosophy, initiatives, vision and its relationship to stakeholders and the community professionally.
Minimum Qualifications:
· Associate degree or equivalent coursework required
· One to three years of office experience
· Accurate and highly proficient computer skills and experience working with Windows
required.
· Proficient in managing and scheduling content across various social media platforms
· Current Driver's license and ability to be insured by University's insurance carrier
Preferred Qualifications:
· Bachelor’s degree
· Head Start experience
· Bilingual
Job Duties:
- 40% - Reception and Clerical Obligations: Perform daily clerical duties such as answering and screening telephone calls courteously and efficiently; taking messages; sorting and distributing incoming mail and faxes; copying and collating; filing; and other routine duties necessary to assist office personnel. Greet and assist visitors in a courteous and helpful manner. Compose routine letters, prepare and/or type meeting minutes and other office records, schedules, reports, statistical data, graphs, charts, and other documents as requested. - (Essential)
- 15% - Staff Support and Office Maintenance: Perform various complex and confidential organizational duties. Facilitate and coordinate requests from office personnel including supply orders and delivery receipt. Establish and maintain timelines for all assigned work. Establish documentation that includes description of regular office responsibilities including the use and maintenance of office equipment. Maintain a professional work environment that is functional and organized. Use good judgement in conducting all work. 5% Assist in the development and dissemination of materials and resources to staff and parents relevant to dual language and cultural programming.10% Develop, recommend, and implement human resources policies and procedures. Ensure such policies and practices are consistent with and support the organization’s mission. Establish and maintain pay structures and policies for salary review. Conduct survey of salaries and benefits in appropriate comparable industries and locations. Prepare or update position descriptions for all staff positions. - (Essential)
- 15% - Communication and Word Processing: Exhibit an understanding and support of organization goals through actions, verbal, and written language. Create and edit own written work and the work of others to produce error-free documents. Proofread, check for length of material; reading level; and errors in grammar, usage, punctuation, and spelling. Maintain clear, concise messages, coordinate communications. Maintain relevant and respectful relationships with external organizations. Keep all interested and involved parties informed of matters requiring their attention. - (Essential)
- 10% - Social Media: Develop regular and engaging social media posts grounded in a strong understanding of social media trends, audience engagement, and content strategies to increase visibility and engagement for the program. Create, edit, and curate content that aligns with company branding and goals. - (Essential)
- 10% - Event and Project Support: Participate in special projects. Assist with all data entry; meeting planning; set-up and tear down; program registrations; and other projects as assigned. Interact respectfully and effectively with individuals and groups at all levels. Maintain an accessible, functional organization system for assigned tasks and projects. - (Essential)
- 5% - Record Maintenance and Scheduling: Maintain strict confidentiality of all records and documents. Maintain department records, reports, and child files in a secure manner. Assist with scheduling family intake meetings. - (Essential)
- 5% - Federal Head Start Program Performance Standards, state and local regulations, rules, and requirements compliance. Maintain strict confidentiality of all records and documents. Maintain department records and reports in a secure manner. Represent Drake University and Drake University Head Start in a professional manner. Treat clients, co-workers, staff, parents and community members with respect and civility and ensure a safe and inclusive environment for everyone.
