Department Summary:

Drake University's Office of Registrar is responsible for the accuracy and integrity of all student records. The Office carries a list of responsibilities, including maintaining student records, producing student transcripts, evaluating transfer credits, providing degree and enrollment verifications, to name a few.

The Office serves both current, future, and former Drake students and partners with offices across the institution. We are a highly collaborative team focused on Drake's mission.

Job Summary:

Drake University’s Office of the Registrar is seeking a new Registrar. Our long-term Registrar has been promoted to Associate Provost for Student Success. The new Registrar will report to the Associate Provost, creating a great opportunity for the new Registrar to learn from the former Registrar while being given the space to run the Department.

We are seeking a Registrar who will work collaboratively with campus stakeholders to implement efficient and effective business processes. Attention to detail, strong organizational skills, a thorough understanding of academic procedures and policies, and experience working with student information systems (SIS) are essential for success in this role.

The Registrar directly supervises all of the Registrar staff while closely partnering with academic and operational units across the University, including Academic Deans, the Admissions Office, Student Financial Aid, Global Engagement, and many others.

Qualifications:

• Baccalaureate Degree
• 5+ years in registrar/records office or related field
• Strong interpersonal skills and the ability to create and maintain positive relationships with diverse constituents, including students, colleagues, parents, and external partners.
• Strong oral, written interpersonal and electronic communication skills sufficient to prepare messages and materials for diverse audiences and clearly explain, discuss, and present.
• Ability to identify priorities within multiple assignments in a high-pressured, short-deadline environment, while maintaining diplomacy, efficiency, and confidentiality.
• A high level of integrity and ability to exercise independent judgement.
Advanced skills in problem identification, critical thinking, and problem-solving skills; judgment and decision-making ability.
• Evidence of solution-oriented, creative, and innovative thinking to assess business processes, resolve complex issues, identify operational gaps, and implement improvements.
• Experience in analyzing and organizing information to produce data-driven decisions.

Core Job Duties:

Leadership and Project Management (50%): Leads the Office of the Registrar staff in the planning, direction, and management of services and programs to ensure accurate, consistent, and timely services to the University community and assure compliance with all federal, state, and institution regulations, laws, policies, regarding student records. Responsible for the budget development and resource management for all registrar operations and activities. Serves on committees and task forces as appropriate. - (Essential)

Academic Policies and Procedures (20%): Oversees and implements policies, processes, and procedures that ensure the accuracy and integrity of student data and records. Serves as a resource to the campus community regarding academic policies and procedures. Provides information and data to be utilized in academic and institutional planning. - (Essential)

University Commencement (10%): Oversees coordination of the university commencement ceremonies in collaboration with university departments and offices, external vendors, faculty, and staff. - (Essential)

University Catalog & Academic Calendar Management (10%): Collaborates with faculty and administration to update, develop, and publish the university catalog and academic calendar. Administers a review schedule of academic policies, processes, and procedures as outlined in the University Catalog. Oversees the inventory of academic programs and courses in the University catalog. Ensures the accuracy of published electronic catalog and Banner data related to courses and the degree audit system. Serves as a resource to academic units for the creation and modification of academic programs and courses. - (Essential)

Compliance Officer (5%): Function as the compliance officer for applicable legislative or federal regulations, FERPA, NCAA certifications, and enrollment reporting through NSC. Assures the release of student information within the regulations of the Family Educational Rights and Privacy Act of 1974, as amended and within university policy and guidelines. - (Essential)

Technology Oversight (5%): Responsible for configuration and maintenance of relevant functions related to information systems (e.g., Banner). Collaborate with ITS and others to implement new and modified functionality of information systems. Recommends technology and system upgrades for processes and policy within the office and advises/consults with other operations to ensure appropriate integration of processes and functions. - (Essential)

Communication and Training (5%): Creates and maintains necessary communications, trainings, workshops, website updates, etc. related to areas of responsibility. Perform other duties, as assigned. - (Essential)

Salary & Benefits

We anticipate the starting salary to be in the range of $75,000-$80,000. However, the final offered salary will be dependent upon the qualifications and experiences of the selected candidate.
